This is a Full-Time, Exempt Position

Under the supervision of the Children’s Home Society of California (CHS) Director of Information Technology, the Facilities Coordinator will support CHS’s offices throughout the state. This includes spending one day per week at the Los Angeles office and traveling to the Northern California offices as needed. Duties will include:

· Maintain the Facilities Inventory System (WiseTrack) and respond to maintenance and repair requests

· Maintain the office key card security system for all locations

· Conducts physical inspections of facility grounds, premises, hallways, common areas, and record safety concerns, housekeeping issues, and items that might require repair

· Conduct a quarterly office furniture inventory

· Maintain a schedule of routine maintenance requirements and work with vendors and contractors to schedule miscellaneous repairs and maintenance visits; monitor work in progress

· Assist Management Staff with coordination of internal office moves

· Assist the Information Technology Department with the deployment of new computer equipment and moving computer equipment within an office

· Perform minor repairs and maintenance work in offices and assemble furniture

· Set up conference rooms for events and meetings

· Assist with printer and copier maintenance

· Maintain office and shipping supplies

· Unpack deliveries and put away items

· Assist staff in managing and organizing on-site storage spaces

· Monitor off-site storage and maintain a working relationship with the facility contact person

· Order customized stationery and business cards for all sites

· Utilize computer software programs as required to receive and respond to emails, document time and attendance, submit leave requests, and track maintenance tasks

· Adhere to all agency policies and procedures, as well as applicable contractual and governmental regulations

· Maintain all records in a high-quality manner and within record protection, retention, and destruction guidelines

· Work some evening and weekend hours, as needed, to support department operations

· Perform other support duties and functions as assigned, such as administration services and the Family Education Program

· Conducts ergonomic assessments for staff

· Oversee maintenance and repairs, and ensuring all equipment and devices are in working order at the Los Angeles office

· Ensure offices complies with all health and safety regulations

· Plan and executing facility projects effectively

· Coordinate and oversee space planning, office moves, and equipment procurement

POSITION QUALIFICATIONS:

· High School Diploma or equivalent required

· Minimum five (5) years of facilities maintenance experience required

· Knowledge of the telephone systems, PBX (Private Branch Exchange), and VoIP (Voice over Internet Protocol)

·Ability to prepare and present effective written work, provide strong attention to detail and produce error-free work

·Excellent written and verbal communication skills, including the ability to communicate effectively with all levels of the agency staff

· Proactive self-motivator with a professional, positive, and flexible attitude

· Excellent organization skills and the ability to manage multiple projects and meet deadlines

· Ability to work both autonomously and collaboratively in a fast-paced environment with a strong work ethic

· Ability to work independently and be fully accessible during work hours, regardless of work location

· Demonstrated ability to exercise sound judgment

· Commitment to CHS’s core mission and values and an ability to model those values in relationships with colleagues and partners

· Knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint)

· Must be able to lift 30 pounds and occasionally up to 50 pounds

· Must be able to access tight spaces such as under desks and cubicles

· Must be able to pull and push desks or file cabinets to reach outlets and power cords

· Must be able to carry and maneuver chairs, tables, and small furniture through the office

· Must be able to carry and maneuver a ten-foot ladder through the office

· Strong organizational administrative skills

· Ability to travel via air and surface transportation, including travel between multiple offices

SALARY SCALE:

Entry level pay for this position is $1,350.00 per week; the full pay scale is $1,350.00 to $1,579.31 per week. Advancement on pay scale is based on qualifications, such as experience and education, and eventual job performance. Excellent benefits are provided including 100% employer paid medical, dental, and vision premium coverage for eligible employees and their eligible dependents and 10% pension plan contribution for eligible employees.
